About the role
We are looking for a Human Resources/Payroll Assistant join a shared service center office in Gdansk Poland. This person will be part of the Administration team and will make sure that the office is functioning in a smooth and structured way. We are looking for an individual that can interact with both employees and external payroll/bookkeeping company and the rest of organization. The person must be able to handle personal data with respect and confidentiality, must have a good communication skill, analytical mind, and high attention to details.
Responsibilities:
- Collect and coordinate documentation between external Payroll company
- Coordinate communication with Payroll company
- Personal data management and Salaries calculations
- Coordinate communication with Luxmed, Benefits system and other external partners
- Handle requests and questions and coordinate answers to the employees concerning salaries and other topics
- Support in recruitment processes
- Onboarding new hires to the hub
- Help new employees and welcoming them to the company
- Handle employees' claims and issues, serving as a point of contact and working towards a timely resolution and effective communication.
- Supporting various administrative tasks and facilitating their workflow.
- Provide office administration support
- Manage office purchasing tasks, including creating purchase requisitions and goods receipts, as well as verifying invoices.
- Support in organizing Hub events, contributing to the planning, coordination, and execution of successful events.
- Other tasks connected with HR, Payroll and administration
- Ad hoc administrative tasks.
Requirements:
- Minimum of 3 years of experience in a similar position within an organization of comparable size.
- Fluent English language skills.
- Excellent communication skills, both verbal and written.
- An energetic and proactive approach to work, with the ability to handle multiple tasks and prioritize effectively.
- Creative mindset and problem-solving abilities.
- Patience and the ability to work well under pressure.

- General Knowledge of Polish labour law and salary calculations principles
